  1. Need a way to retrieve HOLDINGS where there are no ITEMS associated with the holding

Currently, there is no good way in either Advanced Repository search or Analytics to retrieve Holdings records that do not have items attached. The "has no inventory" indexing only returns bibs with no holdings, not holdings with no items. In order to have the holdings fields exposed to the Repository Search, you must select either Physical Title or Physical Item, which then only looks at records where there is an associated item record.

The same seems to be true in analytics. I can create an analysis using the Titles table and filter to "Number of Physical Items (All) = 0",…

  2. Fulfillment Network/Consortium - See loans (items) from other institutions in patron's home Alma

We need to be able to see ALL of a patron's active loans - including those items borrowed from a consortium partner - in the patron's home Alma. So if I have books checked out from my own library and 2 other libraries, they would all show up in MY Alma record.

  3. All items loan and hold requests history

In aleph circulation, items tab, we had an option to see all items history of loans and hold request.
In alma we have to go into each item - action - edit - history, in order to see loan history and there is no option to see the hold requests history. We suggest adding column in the list of items screen with the number of loans / requests or adding a tab in each item with the summary of loans of all items. Although we can retrieve the data thru analytics, not all the librarian can access it and it…

In the Other Details tab of physical title and all title search results, the following new loan statistics are available:
    Number of loans
    Number of in house use
    Year-to-date loans
    Last in house use date
    Last Loan Date

  4. Make more sort fields available in Physical Item Sort Routines

    Functionality wanted:
Make more sort fields available in the Physical Item Sort Routines, to include all enumeration and chronology fields, as well as receiving date and material type. Retain sort routine selection in all areas of Alma, including when receiving.

Use case: Currently the limited options available in the Physical Item Sort Routines do not allow for serial items with no volume or number to be displayed in correct chronological order. Instead they sort alphabetically by month. Serial items published daily do not sort in correct chronological order, because the chronology field J is not an option in the Physical…

  5. Export Note to vendor into Excel

We noticed, that when exporting a number of POLs to Excel (for example from the claims list, but also from regular search results list), the "Note to vendor" is not exported.

This field would be very helpful for manual claiming.
Is there any way, you could add this field to the export-function?

An option to present the "Note to vendor" is added to the file exported to Excel when exporting a list of PO lines (Export all fields).

  6. Add Electronic Service information to Analytics E-Inventory subject area

Information at the Electronic Service level in Alma is not searchable in advanced search or Analytics - it can only be accessed by individually viewing a single electronic service. Making service-level information accessible through Analytics would enable searching across all collections for troubleshooting or updating information.

I am particularly interested in the Electronic Service Public Note field. Portfolio Public Note and Electronic Collection Public Note are already available through Analytics. Making Electronic Service Public Note available would allow me to view all the Public Notes that appear to our users and update them as necessary.

  7. Ability to create a set of holdings records in Alma

Currently in Alma you can conduct a repository search to create a set of physical titles (bibliographic records) or physical items (item records). Although you can do an Advanced Search of certain data fields in holdings records, there is no functionality to create a set of holdings records.

(You can create a set of titles or items and run the manual jobs: change physical items or change holdings information. Unfortunately, the set of physical titles include all holdings records linked to the bibliographic records (including holdings records you may not want to change). And you don't always have search criteria…

  8. CZ Updates Task List – add «Test access» to Actions button

Please add Test access to the Actions button in the CZ Updates Task List. This is probably only useful for the reports concerning portfolios.

Background: When working with the CZ Updates Task List I often access the resource by using Test access, e.g. to check whether the updated link is working properly or to check our coverage. In quite some cases, it is not necessary to edit the portfolio. Just checking is sufficient. A test access option from the Actions button would reduce the number of clicks in those cases.

  9. Allow to configure the localization of loan status codes on institutional level

Currently it is not possible to configure a localized version of the basic loan status codes (e. g. "recalled" or "normal") on institutional level. Instead there are static translations which are set for all Alma institutions - for example (german) "Zurückgerufen" for "recalled". That specific translation, displayed in the loan list in Primo >> My Account, creates confusion among our users since the correct term in that case should be "Vorgemerkt" ("put on hold").

We need a possibility to configure the localization of loan status codes on institutional level - no matter if in Alma or in the Primo code…

  10. Add "Previous User" in Manage Patron Services

It would be great to have feature to see the last previous user that you pulled up in the Manage Patron Services Patron Identification page. We often find ourselves needing to look up information on the patron who we just checked out materials too.

  11. Automatic Hold Item check for its interested user

Please make it possible that when a PO line has an interested user, its Hold Item gets checked automatically by using any of the following methods:

    1) the library's configuration change
    2) Import Profile setting
    3) Update PO line job

This function is necessary for Patron-Driven Acquisitions which takes up most of our purchases. Now we manually open each PO line and tick the box one by one, which is one of the biggest hassles when there are hundreds of PO lines to review.

  12. Generate accession number by using keystroke combination

Generation an accession number in 852$$h can only be done by using the menu (tools -> MARC21 holdings -> generate accession number), we would prefer a keystroke combination. It would reduce the clicking enormously!

  13. Add POL Access Provider to Analytics

Quite frequently we purchase our resources through a third party vendor, e.g. Ebsco, but the access provider is different, e.g. Taylor & Francis. It would be really useful to be able to view the Access provider information in Analytics as well as the vendor information. Currently we can only see the vendor information.

  14. Ability to schedule manual jobs on a regular basis

At our institution, we have some manual jobs we would like to schedule on a regular basis (daily, weekly, etc.). For example, after we purchase a physical title and a PO line is created in Alma, we run the manual job, change holding information on a logical set. This job updates the holding call number (852 $h and $i) from the bibliographic record and also updates the library and location (852 $b and $c) based on the Library of Congress call number in 852 $h.

We are aware that there is an Alma Jobs API (https://developers.exlibrisgroup.com/blog/Working-with-the-Alma-Jobs-API) that could…

  15. Collaborative Collections Retention Item Designators

Collaborative collecting agreements are becoming increasingly critical for libraries in managing collections and access across institutions. Formal agreements require libraries to commit to hold specific items. Currently, there is no way to mark this in records unless in free text notes, and no system checks in place for items to prevent accidental weeding of items that libraries have committed to retain. This idea outlines system functionality to ensure that libraries can safely manage committed collections.

    • Two new fields in Alma Items: a Committed to Retain check box and a Retention note free text field (minimum of 200 characters)

    •…

  16. Authority control task list - ability to exclude certain MARC fields and authority vocabularies

We would like to be able to configure or filter the Authority Control Task List so that only the vocabularies that we authorise are included in the list. Also, it would be useful to be able to exclude or filter out selected MARC fields from the list to make the list more manageable. At present the only way to filter the list is to export it to Excel, which means that you can't work on records directly from the list. A configurable or filter-able list would be much more user-friendly.

  17. Electronic collection extended export file format change from xls to xlsx

the output of the 'edit service>portfolios>extended export' is currently xls (very old excel format) which has a huge inefficient file size and a technical limitation of 50,000 lines.

we would like the extended export output to be in the much newer, much more efficient XML based xlsx format, which has a much smaller file size to work with, while also providing many more lines - very useful for libraries with very large electronic collections that rely on this functionality.

When using the Extended Export option available under (Electronic Service Editor > Portfolios (tab) > Export (icon)), the output file is now upgraded to *.xlsx. This format enables users more options and improves efficiency.

  18. Resource type for ceased print and electronic serial publications

Ceased and previous print and electronic serial titles (Newspaper, Journal, and Other Serials) are currently assigned a Resource Type of Undefined, based on 008 pos.6 (if pos.6 = d - continuing resource ceased publication). No other serial date statuses are explicitly excluded from Resource Type in this way.

This results in a significant functional impact in Alma as excluding ceased and previous title journals from the resource types associated with all other journals (including those with "unknown," "questionable," and other non-current date codes in 008 pos.6) makes it impossible to do a targeted repository search or analytics report. Forcing the…

  19. Improve how Alma selects libraries for internal requests

We are 1 institution on Alma/Primo, our organisation is NHS Scotland. We have libraries from different NHS regions (or health boards) each linked to a particular campus.

When a patron requests an item on Primo and selects the pick-up location they belong to, Alma checks to see if that particular library can fulfil that request.

Thereafter it will just select randomly from the list of other libraries to fulfil the request.

The issue we have is that a library from the same campus may be able to fulfil that request but Alma may select a library up to 150 miles…

  20. Do not publish to Primo bibliographic record if all its representations are inactive

If a record does not include any material that the end-user can display or access, then it should not be searchable in Primo.
For physical inventory, there is an option to enable the suppressBibWithSuppressedHol setting which means that if all physical holdings in a bib record are suppressed, then the bib record will automatically be suppressed from discovery.
This idea asks to add similar option to digital content (Alma-D): when enabling the suppressBibWithSuppressedRep setting, any bib record that all its digital representations are inactive, will be automatically suppressed from discovery.
