  1. Change due date when patron account expiration date reduced

    As a Fulfillment Manager, I would like the due dates of a patron's books to be changed to their account Expiration Date if this is reduced. Eg, if a book is issued to a student for 10 weeks and they withdraw from their course, the original due date remains which can be some weeks after they have left. This can cause confusion for library staff and the patron.

    When a loan due date is shortened due to patron expiry, Alma will retain and internal  an indication for that on the loan record. This way when the patron expiry is updated (shortened OR extended) the loan due date will be recalculated using the loan date (i.e. as if the recalculation is happening at loan time). 


    This way, the due date may be extended or shortened according to the new expiry date.

  2. Short Term Loans - Courtesy and Overdue Notices

    The new shortloancourtesyreminder & shortloanoverduereminder cannot be configured for multiple locations. For institutions with several hourly loan locations (for example Boston College maintains 2 and 3 hour loan periods for Course Reserves and a 4 hour loan period for some technology items) this dictates that the reminder notice has to be set based on the location with the shortest loan period. The overdue notice must be timed to make sense for for the longest loan period.

    In our test configuration we used the following time parameters:

  3. Add preferred pronoun field that displays in Fulfillment Manage Patron Services display

    We will be asked to provide a place to store preferred pronoun for our users (e.g. he/his/him) at some point in not too distant future.

    We cannot use Note field for this information because we have been told by Ex Libris that if we import notes the entire note section in a user record is overwritten.

    We need a configurable field (i.e. we can add the categories of preferred pronoun) that displays in the patron info section of the Fulfillment Manage Patron Services display

    The core user record will  have a field for selecting a preferred pronoun. The options will be from a configurable drop down such as:

    • he, him, his
    • she,her,hers


    The field will  be updatable from:

    • Alma form
    • SIS
    • API
    • Primo (VE)


    The preferred pronoun will in the Manage Fulfillment Options screen.


    It will be possible to locally override this field without overriding from the SIS, like other fields allow (such as user group).

  4. Expand 'Bulk Change Due Dates' to disregard expired patrons and include recalled items

    Configuring Alma to deliver an exclusively off-campus service in response to the Coronavirus pandemic included the extension of due dates for us. We were thankful for the 'Bulk Change Due Dates' functionality, which we were able to use to push back the due dates of a majority of items on loan (until 1 June in the first instance for us). We encountered problems though when it came to any items borrowed by patrons whose records were due to expire before that date.   5. "Maximum renewal date" should be viewable on Alma

    "Maximum renewal date" should be viewable not only Primo, but Alma. Patron can see his/her "Maximum renewal date" by him/herself, but staff can NOT check it.

  6. Enable bulk due date changes based on a set of items listed by barcode

    We've had occasions where it would have been useful to be able to create a set of items, for example, in Alma Analytics. Then to take that set of items, e.g. a CSV or Excel file listing the barcodes, and then to update the due dates of all those items, to a new fixed value.

    This is similar to the current Bulk Due Date Change functionality, but with the addition of uploading a list of items to change.

  7. Claimed returned option for Lost items

    In our previous system, with one click we were able to change items to Claimed Returned status, no matter what their current status was. one click and it was done.
    But in Alma, for some reason, this is not possible once the item has been declared Lost. One has to go through a long and convoluted process creating a file and saving it then creating a set and saving it then running a job on the set. This involves three pages of instructional documentation and about 15 minutes of staff time every day.

    The 'Claimed Returned' action will be available for lost loans. It will change the loan status to 'claimed returned'.

    A customer parameter will determine whether the change to claimed returned should trigger a 'Find Item' action (and refund the lost item fees) + change to 'claim return', or only change to 'claim return'.

  8. Add a tab "re-loan" to Patron Services to return and re-loan items in one step

    An additional tab (e.g. "re-loan" or "Wiederausleihe" in German) would be a valuable improvement to the Patron Services page.
    The goal of this tab is the returning and re-loaning of an item to the patron in one step, with a pop-up warning if there are requests present in the request queue.
    The option of a re-loan tab would be a big help in cases where large amounts of items are reloaned to the same person when the items reach the maximum amount of renewals. The additional tab would make the process easier, less error-prone and especially faster.

  9. Overdue notifications to be sent also on days after closed days

    We noticed that if closed days are configured, and a closed day is between the due date of a loan and the planned day on which the first reminder should be sent, the job does not generate a notification on that day but waits until the next one.
    This leads to misunderstanding on the patrons side, because the grace period is not always identical and can vary depending on possible closed days.

  10. Make Alma able to deactivate the security of the RFID tags when lending items from other IZs

    In a network circulation context, Alma cannot currently disable the security of the RFID tag when lending the document from another institution zone (hold shel request on items of other IZs). We would like Alma to be able to deactivate the security of items of other IZs. Currently the deactivation must be done "manually" in a third party software.

  11. Patron services – Renew all loans

    When the number of loans is more than 50, they are displayed on several pages.
    When we want to renew all the loans, or to modify their due date, we can’t do it all at once, but page by page.
    We would like to be able to select ALL the loans, no matter how many they are, to work them on bulk.

  12. Short Loan Reminder - overdue notice doesn't display due time

    The Short Loan Reminder uses the Full Overdue and Lost Loan Notification letter for the overdue reminder (sent x minutes after due time). This letter does not display the due time of loans however, and is not configurable.

  13. Change default value in pop-up message for shipped items in the scan in interface

    This warning message was added in July 2020 release to prevent accidentally completing a lending request:

    With the introduction of Rapido, we noticed this warning message popping up a lot more often, and since the default value is on "Confirm", many requests are cancelled accidentally by double-scanning. We would like to suggest that this message be set by default to "Cancel" rather than "Confirm" or being able to configure the preselected default value.
    The mapping table is under: IZ Configuration > Fulfillment > Physical Fulfillment > Scan In Messages Configuration > line 3 Complete lending request.

    When an override by a manager is needed at a circulation workstation, there should be a way for the manager to override either remotely or at the workstation without the operator logging out.

  15. option to "Send Return Receipt" from "Return items"

    When I'm returning books from the drop box, using "Return Items", I would really appreciate the option to "Send Return Receipt" in cases where the patron has accrued fines. It makes sense from a customer service standpoint - rather than the fine eventually going to billing (and adding the billing fee) without ever letting the patron know that they owe a fine. This is similar to the last idea posted, but subtly different, so I thought I'd go ahead and suggest this.

  16. Option to set return time to 15 minutes before closing

    We issue equipment such as laptops to students. These must be returned before the library closes.

    In the current TOUs it is only possible to set the due time to closing time. However, we really need to check all equipment is back, and therefore would like to set the due time to 15 mins (or 30mins) before closing.

    We would also do this for short loans, as these require being returned before the library shuts. Otherwise the student will receive fines.

    Changing the closing time of the library would be too confusing for everyone

  17. "Fulfilment Configuration Utility"- include specific loan date for closed days

    When setting up the Closed Library Due Date Management for short loan items, it would be useful to be able to test it in the Fulfilment Configuration Utility by specifying the loan date and time rather than the only option being 'if the item was borrowed now'.

    For example, in order to test the rule for our 24 hour loans when taking the weekend closed days into consideration, this can only be done on a Friday, which can mean having to wait 5 days to test the parameter.

    If it were possible to select Friday 08:00 as the loan date…

  18. Handling books on the shelf that didn't get checked in

    When a book on the shelf was accidentally not checked in and another user brings it to the desk, it clears the original checkout and adds a fine without generating a message to let us know. In most cases, we would waive those fines, since the book had obviously been returned. We would love to see a pop-up when that happens so we can go and waive the fine on the previous customer's record

  19. Extra column in "Return items" with "Fine per patron"

    We would like to have an extra column in return items, a column for fine per patron. Because at every return we immediately want to see if the patron has a fine in general, not for the returned item. We would like to see this in Return items and not via "Manage patron services / Returns". Is this possible or something similar?
