  1. Ability to merge multiple researchers from the manage researchers page

It would be helpful to have an option to merge multiple duplicate researchers at once from the manage researchers page, rather than relying solely on the bulk merge duplicate researchers report. Many times we need to look at the assets themselves to determine if the researchers are indeed identical.

  2. Add a creation date to the summary asset record

In order to manipulate and identify files for individual or batch processing, the display of the asset record creation date in the summary asset record would be very useful.
I've attached an image of the existing summary asset record. At present, only an 'Asset last updated' field is included. It would be a logical next step to display when the record was created.

  3. Add the ability to display PlumX metrics badges

We would like the ability to display PlumX badges for assets. Being able to display WOS and Altmetrics badges/metrics on assets is great, but WOS covers only a select group of journals. Adding the ability to also include PlumX badges on assets would expand our metrics coverage to give administrators the numbers they want, and give researchers a fuller, more accurate picture of the impact of their works. Metrics make the academic world go round. And the more information we can provide our users, the more buy in we encourage across campus.

  4. Include affiliation when replacing an author with an existing researcher

It would be more efficient if we could add an affiliation when we are replacing a creator/contributor on a record with an existing researcher. As it is, I need to replace and then go back and edit the researcher to include an affiliation.

Thank you for this idea. We will look into adding this functionality to the roadmap.

  5. Embargo options for Links

When researchers deposit large dataset files, it is often impractical to upload them to Esploro. In those cases, we store the datasets externally. Then, in the Esploro record, we upload a readme file and add a link to the externally-stored dataset files. When access to the linked files needs to be embargoed for any number of privacy and security reasons, we need to be able to register DOIs, provide open access to the readme files, AND embargo access to the link(s).
Currently, our workaround is to 1) remove the link from the record; 2) add a copyright statement to the…

  6. Include researcher proxies in Esploro letters and communications

Allow repository staff the ability to communicate with researcher proxies regarding deposits. Currently, all letters and communications regarding deposits are sent only to the researcher. In cases where a researcher has appointed a proxy to deposit assets and manage their profile, library staff should have the option to send messages to the appointed proxy instead of or in addition to the researcher. Staff should be able to select this option when approving or returning deposits or using the "Contact Researcher" button. Proxies should also have the option to recieve letters about the researcher accounts they manage.

  7. Consolidated Task List for all assets requiring staff intervention

When our staff work on approving assets they need to work off multiple lists because of how they are displayed in the tasks list. We would like to see a consolidated list of Draft and Pending Approval assets so that we can then filter by date or researcher to work through them as a batch. As it is, we need to check in the Smart Expansion task list, the Research Deposits task list, and the Smart Harvesting task list.

A consolidated list would streamline our workflow and make assigning tasks to users significantly easier.

  8. Ability to batch edit author affiliations

We need a way to improve existing affiliations in assets to both add and cleanup affiliations that do not match with EROD. These affiliations will be more and more important with collaboration reports

  9. Ability to customise grant labels

When selecting investigators to add to a grant, the options are PI (Principle Investigator) or CI (co-investigator). We'd like to be able to customise the labels for these fields.

This is especially confusing in Australia where our national funding body (Australia Research Council) uses the opposite abbreviations so we often choose the wrong one and would like to be able to update the Esploro labels to make: Chief Investigator (CI) and Partner Investigator (PI).

  10. Improve functionality of ETD Degree Names table

Issue 1: Currently, ETD degree names must be manually entered individually into the table. There is no facility to upload a spreadsheet to populate the table. When repositories need to account for all relevant current degrees as well as past degrees for earlier theses uploaded, this list can be very long - we had 100.
Solution: allow for spreadsheet upload to populate table.

Issue 2: There is no apparent way to control where a new degree is added in the list. It does not add to the end of the current list, it is not alphabetical, it seems to insert…

  11. Add asset type Blog post as a type of Publication

We need an asset type Blog post to appear under Publications. These are not entire blogs. These are not interactive resources. They are a type of publication. We currently use asset type Other with a subtype Blog Post, but this means the items are not integrated with other publications on a researcher's profile.

We had hoped to deal with this through a 2023 roadmap item "Local Management of Asset Types and Categories" but it appears this will not be happening.

Note also a request for an image asset type - https://ideas.exlibrisgroup.com/forums/929326-esploro/suggestions/47430887-image-asset-type

  12. Allow files to be organized in folders

When uploading files, there is no option to put them in folders or maintain the original folder structure. We have a user who has sorted his data by year and the only way to maintain that structure was to create separate assets for each year. They are closely related datasets.

  13. Remove multiple affiliations from an asset

When you select Manage Creators on an asset, you can Update selected author affiliations. However, you can not remove them. When there are many that are incorrect but there is not one thing to change them to, it would make things more efficient if we could also Remove selected author affiliations

  14. Assign assets with active messages to administrators

Currently, you can only assign assets that have not yet been approved to administrators. Due to the built in messaging system in the faculty profiles, it would be helpful from a management standpoint to be able to assign assets with active messages to administrators. Currently, assets with active messages are only visible in the general task list. It's not possible to know what is in progress or being reviewed by another administrator unless you open each asset to view any communications. Furthermore, we have to leave open cases set to active to ensure that communications are followed up on (especially…

  16. Allow customers to modify the frequency of the usage statistics letter

Currently, the usage statistics letter can only be sent monthly. Some researchers find this schedule too aggressive (especially considering asset usage doesn't typically change dramatically from month to month). Many of these researchers tend to unsubscribe as a result. However, some have suggested they would be more open to receiving these notifications is they were less frequent. We suggest Ex Libris consider giving customers the option to modify the frequency of this letter (i.e., quarterly or annually).

Ideally, it would be great if researchers themselves could manage their notification preferences (including frequency) from their researcher profile. See related enhancement request:

  17. Issue with OA status on closed asset with open manuscript

There seems to be no way to add an open access manuscript to an asset for a work whose published version is closed without listing the entire asset as OA.

This is a major issue because a central use case for Esploro is to provide openly accessible manuscript versions of closed works. This problem means that we currently cannot add an open manuscript to a non-OA asset (i.e. journal article) without marking the entire asset as OA, which is incorrect and misleading.

There is a workaround, but fixing this would be extremely helpful in the long run as we scale…

  18. image asset type

Our repository is hosting many image files, ranging from historical photographs to scientific photos preformed gathered by aerial drone survey.
There is no asset type that covers photographs or any other type of image in the platform.

  19. Button "manage assets" to show all assets

In the backend, there is a menu item with a sub-item "manage" in the menu bar for all types of data entries, whereby all data records that count towards this are then shown. Examples: Researchers -> manage researchers / activities -> manage activities etc.

What is missing is a field "manage assets" under "repository" where all assets are displayed. There is only a heading with this name, but it has different contents. The better heading here would be "normalisation and mapping". there is also no option for "manage ETDs".

Expected behaviour: direct menu access to an overview of all results…

  20. Default search results to full text/open access

The primary mission of our institutional repository is to support our university's open access policy by providing free, public access to institutional research and scholarship. Accordingly, our institution stipulates that all affiliated researchers deposit a copy of their accepted manuscript in the repository at the time of its acceptance for publication. Apart from self deposit, Esploro offers a variety of other ways for ingesting research outputs including smart harvesting and smart expansion. While these tools offer useful ways to grow the repository, they also tend to allow for the proliferation of metadata-only records (asset records without files).

    In order to…
