Add a public note field in interface record
From time to time, a vendor interface goes down temporarily. While we follow the access issue up with the vendor, we add a public note for our students and staff indicating that the interface is temporarily down. The issue is that often we have many electronic collections with the same interface, and therefore must add a public note to each and every electronic collection that uses the affected interface, and then remove all of the notes once access is restored.
Since all of these electronic collections link back to a single interface, it would be great if there were a…

portfolio deactivation date
Currently, when you create a local electronic collection, you have the ability to set "active from" and "active until" dates at the collection level. We have electronic collections where we purchase 1 year of access for select titles (collections such as Kanopy). It would be great if we could set deactivation dates at the portfolio level. With a deactivation date, once the year of access is complete, we wouldn't have to remember to deactivate the individual portfolios.

Repository import profiles for electronic titles - limit matching to specific electronic collection
To avoid accidentally overwriting the wrong records when importing batches of MARC records for electronic collections, it would be really helpful if the matching of incoming records against existing records in the repository could be limited to ONLY titles with portfolios in a selected electronic collection. As the Alma CZ bibliographic records for ebooks are often of poorer quality than the records provided by vendors to collection subscribers, we prefer to import the vendor records and de-link from the CZ record, but the matching on import can't be limited to just the records in the collection, and we often accidentally…

Add 'Test access' button to New Portfolio editor
When adding a new local portfolio in an electronic collection we will always test access before the task is completed.
Currently we have to click 'Save and done', search for the portfolio and then test access. If the link is incorrect, we have to edit, save, and test again. Please add the 'Test access' button in the New Portfolio editor as in the Electronic Portfolio Editor to save us time and extra clicks.
216 votesA new page action is added that enables the user to save the newly created portfolio and test the access simultaneously.

Add ability to load split coverage dates with portfolio loader & export split coverage dates from Alma using standard export methods
This feature would add the ability to load and export split coverage date ranges for Alma portfolios. Currently, the portfolio loader only allows uploading continuous coverage date ranges. However, in some cases, a journal has split coverage dates. For example, we might have access to a journal from:
1980-1995
1997-presentCurrently, there is no way to upload this using the portfolio loader; the portfolio loader will only load one of the date ranges. This means we must do extra manual work to enter these date ranges in the portfolio editor.
Also, the standard portfolio export features in Alma, in cases…

Provide MARC record quality measures to CZ collections
CZ collections vary in regard to the quality of their metadata. Some CZ collections contain rich MARC records, while others contain very poor records. When facing the question whether to import vendor's MARC records or to rely on CZ records, librarians usually lack basic information about the quality of existing MARC records in a given CZ collection.
I would like to suggest that each CZ collection will include basic statistical information about the MARC records quality. Such information could be generated in different ways.
One possibility is to provide an analysis based on predefined quality profiles of MARC records. Here,…

CZ Updates Task List – add «Test access» to Actions button
Please add Test access to the Actions button in the CZ Updates Task List. This is probably only useful for the reports concerning portfolios.
Background: When working with the CZ Updates Task List I often access the resource by using Test access, e.g. to check whether the updated link is working properly or to check our coverage. In quite some cases, it is not necessary to edit the portfolio. Just checking is sufficient. A test access option from the Actions button would reduce the number of clicks in those cases.

Electronic collection extended export file format change from xls to xlsx
the output of the 'edit service>portfolios>extended export' is currently xls (very old excel format) which has a huge inefficient file size and a technical limitation of 50,000 lines.
we would like the extended export output to be in the much newer, much more efficient XML based xlsx format, which has a much smaller file size to work with, while also providing many more lines - very useful for libraries with very large electronic collections that rely on this functionality.
137 votesWhen using the Extended Export option available under (Electronic Service Editor > Portfolios (tab) > Export (icon)), the output file is now upgraded to *.xlsx. This format enables users more options and improves efficiency.

update collections job
Allow Information Update for Electronic Collections. Sometimes, we need to add a public note to all of the collections that are tied to a specific interface, due to scheduled maintenance, or unexpected downtime. It would be great if we could add/remove these notes with a job. Some large providers, like Ebsco, Proquest, or Wiley can have over 15 collections we have to manually edit, which is a big time drain
115 votesAlma December release includes an enhancment to cloud app application by the name of e collection quick update which provides an easy way to update of supported fields in a set of e-collections.
(you can read more about here:

Ability to log 2 sets of dates on electronic portfolios - Perpetual and Current Access
Most publisher packages only allow perpetual access for subscribed years, post-cancellation, but they give you access to a much larger set of dates during your active subscription. For example, many of our Wiley titles have access back to 1997, but our perpetual access does not begin until 2003. If we could select both perpetual and current access for a title, and have the ability to log both sets of dates, that would be very helpful. Ideally, we would like to use this to do a broad overlap analysis between our print and perpetual electronic holdings.
112 votesIdea was implemented as part of August release.
When a resource has both current and perpetual access, there is now an available access type combination option (Current and perpetual) for electronic collections and portfolios. This option is available in the Electronic Collection Editor and the Electronic Portfolio Editor, and supported by the portfolio loader and Excel exports using the extended export option. -
batch job de/activation of proxy enabled setting at service level
You can de/activate the proxy setting in batch for portfolios, by using the "Change electronic portfolio information" job on a set. Unfortunately you cannot at this stage do the same on Services or Collections.
I have approximately 30 services that I would like to change EZproxy enabled from YES to NO. I do not want to run a batch job on the portfolios - I want the proxy to be determined at service level and the portfolios to inherit the settings. It would be helpful if this could be done as a batch job rather than editing each service manually.
112 votesHello Community,
Thanks for raising this idea.
This Idea exchange was developed and is available in Alma.
You can read about it in the Release notes:
For updating the Electronic Service Proxy Enables (Yes/No) you can now use the following flow:
Run a job -> Information Update -> 'Change Electronic Collection information' job -> Select a set of collection/s -> open the section named 'Change Set Service linking information' -> Proxy enabled (Yes/No) (see attached Electronic Service Proxy.png)
For updating the Electronic Collection Proxy Enables (Yes/No) you can now use the following flow:
Run a job -> 'Information Update -> Change Electronic Collection information' job -> Select a set of collection/s -> Open the section named 'Change Electronic Collection information' -> Set Proxy enabled (Yes/No) (see attached Electronic Collection Proxy.png)

Indicators for e-collection status when viewing portfolios/titles in CZ
Workflow would be greatly improved with an indicator for the activation status of e-collection when viewing the list of portfolios for a title in the CZ. This would be similar to the green dot display currently in SFX. Currently in the Alma CZ one is unable to detect if an e-collection is being used or not when looking at portfolios/titles. This would prevent an inactive e-collection being turned on by mistake.

temporarily unavailable
For electronic collections - under the Activation tab for Service temporarily unavailable:
Instead of selecting a date to turn the notice on, allow staff to select the date on which the notice will automatically expire, and then on that date, have Alma automatically set the temporarily unavailable button to off and blank out the reason/text box. Also, consider making that text appear in red.
Logistically, it makes more sense for the notice to automatically disappear, since there is no mechanism in Alma to remind the staff member that such a notice has been added to an electronic collection. So setting…

Add "General Notes" at the collection, service, and portfolio levels as indexable/searchable fields
Unfortunately, we have received the following case response: "Notes fields are not indexed for search as this is not within the current design/intended use for these fields."
So we hope to get support for our proposal in the Alma community. Our colleagues in the e-resources department use the "General notes" field at the collection, service, and portfolio levels.
However, it is not possible to search for theses notes:(1) In Alma itself you can search for:
Electronic Collection:
- Authentication note (Electronic Collection)
- Public note (Electronic Collection)
- Service Authentication note
Electronic Portfolio:
- Authentication note (Electronic Porfolio)

Collection level access model setting
Please create a setting where we can choose the ebook access model at the collection level. We have many ebook collections where we know everything in them is the same access model, usually unlimited (UA). It would be helpful to be able to set this at the collection level so every portfolio in that collection will have the access model display in Primo.
97 votesAs of February 2024, users can define an access model at the collection level where all portfolios inherit. This is particularly beneficial for libraries with auto-activated collections, as it ensures that each new addition seamlessly inherits the access model.

Ability to track changes made to all fields on Electronic Collection record history tab
Presently, only changes made to some fields in an electronic collection record are tracked on the Electronic Collection Record History tab. For example, if I enter text in the Description field on the Electronic Collection Description tab, the History tab shows a "Modification Date" but does not indicate what field was modified. If I change the Access type field on the General tab, the History tab does not record that any change was made.
The usefulness of the History tab is greatly reduced if not all field changes are tracked. It is more difficult to trust the system or to…
