Improvement to the New Layout for PO Lines

    February 2024 Acquisitions
Some improvements were implemented to the new layout for PO Lines.

The existing Material Supplier and Fund fields were enhanced to allow users to select the value from a list which opens in a sliding panel. This is in addition to the existing option of selecting a value from the dropdown menu or typing the name of the vendor/fund.

  2. Overview of linked bibliographic records in chronological order

When cataloging, it is beneficial for catalogers to view an overview of linked bibliographic records in chronological order, rather than solely in alphabetical order. This pertains to the presentation after selecting F3 - view - bibliographic records. Currently, there seems to be no option in Alma to change this presentation. While it is possible to search from authorities outside the Metadata Editor, this process is more time-consuming.

Catalogers can work more efficiently if they can quickly determine whether an author/corporation, etc., is the correct one. Being able to promptly view the most recently published editions aids in this process.

  3. provide means to access our Alma and Primo data via our own analytics tools

we need to analyse and combine our data with data from other systems that are in use at the university. extracting data from Alma in a meaningful way is way too cumbersome to be useful. all methods that I am aware of are based on an Analytics report, and have restrictions on numbers of rows that can be exported at one time. E.g. we would need to compare data from our reading list system (which we can access using an ODBC connector despite the system being SaaS) with print and electronic holdings in Alma and their usage. I do not…

  4. Preferred term correction - $3 (materials specified) reordering

Preferred term correction reorders $3 (materials specified) in authority MARC fields gets reordered from the beginning of the field to the end of the field. $3 (materials specified) is meant to be at the beginning of the field for the purpose of display in library catalogs at the beginning. It seems that the preferred term correction is just moving it to be in numeric order. Taking time to correct this afterwards is unnecessary and should not be reordered in the first place. It should be added to the preferred term correction function not to reorder $3.

  5. Make ACTL reports dynamic

In a network environment usually the majority of Institution-Zone-BIB-records are linked to the Network Zone. Currently the ACTL reports are not comprehensive – see Ideas Exchange “Make reports in the ACTL of a network environment comprehensive”.

Once the IZ-ACTL comprehensively reports on the records representing all the resources available in a particular library, it would be of great help if the reports within a NZ environment were dynamic. Meaning that if one of the staff users of any of the Institution Zones has already corrected a NZ record it is linked to, and subsequently has deleted the item in their…

  6. Renewal Hour and Renewal Time in the Renewal Date folder on Fulfillment

    Hello,

Some days ago one of our libraries asked for some hourly fulfillment reports. I then noticed that the "Renewal Date" folder does not have a "Renewal Hour" nor a "Renewal Time", as most of the other date folders have. Is it possible to add a "Renewal Hour" or "Renewal Time" to the "Renewal Date" folder?

    Regards,

    Oberdan

  7. PO line description should represent current bibliographical data

Alma provides insufficient data in PO lines for the task of pulling a list of subscriptions a library has of a specific publisher's titles:

    1. The PO line description contains only bibliographical data from the bib record as it was at the time the PO line was created. Subsequent changes in the publisher data are not updated in the related PO lines.

    2. Even in newly created PO lines, Alma introduces the content of MARC field 264 _1 instead of 264 31 if such a field exists, i.e. it copies the first, not the current publisher’s name into the PO line description.

  8. Allow groups of partners to be selected in rules tables by rota template or other attributes

We are a large university, with many resource sharing partners. We would like to set up rules concerning certain groups of partners, e.g. we charge more for sending physical items internationally due to the cost of postage, and want to set up Shipping Cost rules to reflect that. Unfortunately, it seems like the only way to do so is to select "partner" as a parameter and select each partner individually.

We would like to be able to select all partners with particular attributes, e.g. all partners in a particular rota template, or all partners using a system type. This would…

  9. Add flags to tabs in vendor interface record area

We noticed the little corner/flag is not changing on the vendor interface details tabs when we add administrative information/access information/statistics information. We thought it would show like the notes tab with a dark corner when we enter information so we know that we have stuff in these tabs. We thought it was a glitch, so we reported to Ex Libris. They said it is by design:
The answer is that it is by design. The little corner flag is an indicator that there is system or user generated content like populated tables or lists. It doesn't indicate that form data…

  10. Delete bibliographic records - Limit Match of Bibliographic Records to a Specific Electronic Collection

In scenarios where a vendor has provided ISBNs of titles they have removed from an e-book package but it is likely that the same titles are included in other e-book packages, it would be good to be able to limit the deletion to a specific electronic collection. This feature would have to recognise to only delete bibliographic records matching a specific collection where the records do not have active portfolios belonging to other electronic collections. Use case: ability to batch delete locally held e-book records from vendor A only if they are NOT also part of vendor B’s e-book package.

  13. Changes made to Enumeration D - H, and Chronology K & M should appear in the item History tab

At this time, only changes made to the Enumeration Fields A-C, Chronology I-J, and Chronology L appear in the item record under the History tab; we would like for changes made to any of the Enumeration and Chronology fields to appear in the History tab of the item record.

If Alma is offering the use of 13 different enum/chron fields, they should all follow the same rules. Emphasis should not be given to just a handful of these fields, because many institutions use more than the 6 most popular fields.

  14. Optimisation of reminders and overdue letters (anti-phishing)

The reminders and reminder letters sent to patrons currently often end up in upstream spam filters of the mail providers. If this is not the case, we regularly receive feedback that they considered some of the automated notifications to be spam or phishing mails.

On the one hand, we would like to be able to optimise the automated notifications so that they are less automatically classified as spam according to today's standards. Ideally, Alma would already take common standards into account. On the other hand, we would like to see the possibility to personalise the notifications more and, for example,…

  15. In Search External Resources in the MDE, jump immediately to the view record screen if there is just one result

When searching external resources in the MDE, it feels a bit redundant to click "View" when there's just one search result. I would prefer if you skipped directly to the view record screen in such cases. Additionally, could we consider presenting the metadata that was shown in the search results screen in a pop-up or a dedicated metadata section above the marc21 record?

  16. Enable configuration options to only prevent renewal of overdue loans (while keeping non-overdue loans renewable)

It isn't possible to prevent renewal of overdue loans without using a block, which also prevents renewal of non-overdue loans.

We would like to be able to prevent loans that have become overdue from being renewed.

  18. General email address to prevent any incoming email for a given patron account

As we provide service to 200 000 patrons, we send a huge amount of overdue emails daily. Many of them, mostly for school libraries, are sent to the library service email addresses as the toddlers don’t have their own email. Those hundreds (thousands ?) of daily emails are useless and destroyed by Outlook’s rules, but they are still sent and have carbon footprint. The idea would be to configure those accounts with a specific address (could be no_one@exlibrisgroup.com or whatever no-go address) that would prevent ExL’s SMTP to even sent an email, and therefore save greenhouse gas.

  19. Index fields 700 $$4 and 710 $$4 for the Alma Repository Search

As 100 $$4 and 110 $$4 are already indexed and can be very useful for cataloguers for searching records in Alma, we strongly suggest having also the relator codes in 700 $$4 and 710 $$4 indexed for the Alma Repository Search.

  20. Allow license on NZ - managed electronic resources to be viewed by member institutions in their IZs

For electronic resources activated in the Network Zone where access is distributed to member institutions in the consortium, license terms attached to the e-resources cannot be viewed in the IZs of member institutions. License terms can be viewed by institutions only by searching Primo VE, only if "Enable Display of License Information" is enabled in their Fulfillment configurations. This is not an optimal way to search and view license terms for these resources are shared via the NZ.

Since institutions in the consortium have access to the resource via the Network Zone, it would be beneficial if staff at member…
