How can we improve Alma?

  1. Ability to make the option suppress from discovery and Don't publish to WorldCat default in Metadadata Editor templates

    In cases whena a library manages collections that should not be visible in PRIMO or in WorldCat, it would be of value if Metadata Editor Templates could be configured so that suppress from discovery and Don't publish to WorldCat is set as default.

    • Simultaneously reject and complete lending requests

      When we digitally ship a lending request, we have the option to tick a box to simultaneously complete the request and remove it from the active worklist.

      However, if we reject a lending request, there is no option to complete the request at the same time. We have to do an additional workflow step to complete rejected requests and remove them from the active list.

      To solve this issue, a "Complete the request" checkbox should be added to the Reject Request dialog, allowing us to simultaneously reject and complete a lending request.

      • Improve how Alma selects libraries for internal requests

        We are 1 institution on Alma/Primo, our organisation is NHS Scotland. We have libraries from different NHS regions (or health boards) each linked to a particular campus.

        When a patron requests an item on Primo and selects the pick-up location they belong to, Alma checks to see if that particular library can fulfil that request.

        Thereafter it will just select randomly from the list of other libraries to fulfil the request.

        The issue we have is that a library from the same campus may be able to fulfil that request but Alma may select a library up to 150 miles…

        • Enable/disable letter activity at the Library Level

          Currently it is only possible to enable and disable letters at the institution level.

          Initially Alma documentation said this was possible:

          "The Letter Activity mapping table (Configuration Menu > General > General Configuration > Letter Activity) lists all of the letters and enables you to enable/disable them for an institution or a library."

          However this was a "documentation defect" and you can only toggle letter activity at the institution level.

          We would like to disable the "FulCancelRequestLetter" from our Resource Sharing Library and see the ability to turn on/off letters at the library level as desirable functionality.

          • Improve financial forecasting of subscriptions

            It would nice to have more functionality in terms of subscription financial forecasting.

            Although we can roll over subscriptions with a blanket % increase, we would like to be able to input and overwrite this where we know price increases will differ.

            In addition, where we know the increases for multi-year agreements, these can all be set in advance, allowing for more accurate encumbrance figures.

            • Re-linking invoice lines from old orders to new orders.

              Currently we are unable to re-link invoices from old orders over to new orders, it would be most helpful if Alma was capable of doing this.

              • Make the SAVE button more prominent on the Invoice Screen

                I have had a suggestion from my staff to make the SAVE button on the invoice screen more prominent. We have several workflows where one person puts an invoice in review and then it is checked by a second person before moving to In Approval. We have discovered that the incidences of someone hitting SAVE & CONTINUE rather than SAVE in the new Alma interface has increased. When we looked at the old interface versus the new, we discovered that that SAVE is now white and much fainter. At least having it the same color or size I think would…

                • "Select All" checkbox for In Process Items

                  When changing the status of In Process Items there is no “Select All” box at the head of the column, often there are multiple copies and we want to apply the same status change to all the items on the list.

                  Instead of having to check the box next to each item in a list we would like to suggest that on this page (and other pages where applicable) that a “Select All” checkbox* be added.

                  *as is the case on some lists such as “Patron Loans” and “List of Items”.

                  • Electronic collections - let notes tab show active for functional notes

                    When viewing electronic collection/service/portfolio records, the note tab does not show active - a blue triangle in new UX - when content has been added to the functional notes - authentication and/or public. I understand that currently the content indicator "turns on" when content is added via the "Add Note" feature but it would help workflow if staff did not have to click the notes field to discover if authentication or public notes had been added to either collection, service or portfolio editor. Let the notes tab show active whether the notes are functional or internal.

                      Currently, Alma only allows exporting slips to Excel or "printing" to an email address. Please *please* add an option to export to PDF, using similar output that gets sent to a printer. Seems like it would be easy to add, and would be immensely useful.

                        It would be extremely helpful for ALMA to have an autocomplete feature when searching for title, author or even call number. Many times you can be off by one letter and ALMA won't find the item.

                        • Enhance reporting for digital import profiles to harvest remote repositories

                          Currently the report generated after a digital import profile to harvest metadata from a remote repository has run is extremely minimal. It just states that a job "completed with errors", see attached file.

                          I'd like to recommend 3 enhancements. The first is to provide more information about the errors. For example, the harvest failed because the records listed below are invalid. The second recommendation is to provide a maximum error threshold like what is currently available in Primo. Lastly, integrate an option to strip any HTML and escape invalid characters as part of an import profile normalization process.

                            The current Job Report is of varying usefulness, depending upon the job run. In many cases, all that is returned is the name the user gave to the batch, time and date run, the number of records processed, and a process ID which is useless on the local level.

                            It would be FAR more useful if the Job Report, at a minimum, included all of the parameters used to generate the report -- a summary of the selections and input made in the "Run a Job" screens. Without the parameters, troubleshooting is difficult if not impossible.

                              When viewing bib and holding records, there is a link to edit mode that takes you into the metadata editor. If you are viewing an item record and realize that you would like to change it, you have to cancel, go back to the list of items, and then select edit from the action menu.

                                Instead of selecting a date to turn the notice on, allow staff to select the date on which the notice will automatically expire, and then on that date, have Alma automatically set the temporarily unavailable button to off and blank out the reason/text box. Also, consider making that text appear in red.

                                Logistically, it makes more sense for the notice to automatically disappear, since there is no mechanism in Alma to remind the staff member that such a notice has been added to an electronic collection. So setting…

                                  In the order the currency can not changed when the order is saved already. See attachment too, please.

                                  We need a possibility to change the currency after sending the order. Here are the reasons:

                                  a) During the order creation it was made a mistake.
                                  b) For subscriptions and standing orders the currency changes during the lifecycle. First we used British pound and than we use Euro, for example. The vendor changes the currency and we also have to be able to change that.

                                    Results of an All Titles search include the edition statement in the brief display, but Physical Titles and Physical Items results do not. We often have multiple editions of a title, and while the date shows which is the most recent, if we have slight date variances that make the date useless we need to be able to see the edition statement in order to choose the right record to view.

                                      We have large numbers of "bound with" titles e.g. pamphlets. These have MARC Bibliographic records but no Holdings or Items - they are linked to the parent volume, which has the Holdings and Inventory information. When the "bound with" records are published using a General Publishing profile, the Holdings information is not added from the related (parent) record, and the records appear to have no Holdings. We would like the option to include Holdings and Items for Related records in these cases, so that the library and location of the title can be included in the published records.

                                        For shelf ready materials the update inventory import profile updates the item records with barcode numbers. There is also an option to receive the item with the import profile.

                                        But the item must still be scanned in and marked as done in Acquisitions, Post-receiving processing, Scan. Or the item must be received manually in Acquisitions, Receiving and Processing, Receive. After either step, the item is placed in transit to the circulation desk for shelving.                                           There is a "Job Run" for adding work orders in bulk, but no removing work orders in bulk. This would make life a lot easier for when a library undergoes a massive weeding project.
