  1. "Make Toggle Missing Status Available from item editor"

To mark an item as missing, you must currently use the Toggle Missing Item option from the inline action menu, which only displays when you are viewing a list of items attached to a given bib record. However, if you search for the item using a physical item search, and only one item matches your search criteria (for example, if you search by barcode), then the item record opens automatically in the physical item editor. There is no option to toggle the missing status from this screen. Operators must remember to perform a title search, instead of a physical item…

  2. Status for returned items changed to Awaiting shelving then changed to item in place after specified period

When an item is returned at the Library Desk Alma instantly changes the status to "Item in place", leading a user looking at that status in Primo to believe that the item is on the shelf. However when an item is returned at the Library Desk it is not instantly returned to the shelf - often it is placed on a returns trolley and reshelved later in the day or the next day.

What would be more useful would be for Alma to automatically assign a status of 'awaiting shelving' to an item when it is returned, and then after…

Time to reshelve (hours) is now available on the Organization Unit Details (when configuring a library), Circulation Desk, and Reshelve Without Transit Rules Editor pages. When configured, items that are marked as reshelf or reshelf without transit, will be displayed as Awaiting Shelving, instead of Item in Place, for the period of time configured. The item is considered as available, but appears as being reshelved in Alma and Primo so students and librarians know not to search for it on the shelf. Alma removes the ‘Awaiting Reshelving’ indication when the configured time since the item return has passed.
You can configure Time to reshelve once for the entire library, or override for a specific circulation desk.

  3. Add the option to expand both physical and electronic inventory simultaneously rather than having to choose one or the other

For people who work with both physical and electronic items, it is frustrating to continually have to toggle the Expand option back and forth between the two inventory types in order to see associated items or portfolios in the brief results lists. This makes collections work burdensome and requires multiple additional clicks. We'd like the option to have inventory information for both types display automatically by default, in addition to the existing options to display one type or the other.

  4. Edit an authority record when cataloging a bibliographic record

Here is an enhancement request concerning authorities.

Currently, when cataloging a bibliographic record in the metadata editor, we can press F3 in a field to choose an authority.

    Example :
MARC21 field 100 -> F3 to choose an author authority.

When pressing F3, the cataloger can :
    - select an authority
    - view an authority

I would like ExLibris to add a third option :
    - edit authority

(for example : after clicking on "view" an autor authority, I want to be able to edit it to add a field 4xx)

Thanks for taking this into account!

  6. Add a policy copy column in the list of items

When we are searching for all titles we cannot find in the list of items the related item policy so if we have to check the policy of a copy we have to select action and select view to view the related policy. Adding a column with the related policy in the list of items would be quick and useful.

Material type, item policy, and/or copy ID were added to the following areas:
    Item List page
    Physical Item Editor
    Physical items repository search results
List of Items accessed by clicking the No. of Items link in the Holdings tab of the “Held By” Details page (for a member search in the Network tab)
data exported (the copy ID) to a CSV file when exporting physical items
the item list presented when selecting Bind Items from the List of Items page
    the Manage deleted repository page

  7. Enhance Cost Per Use reports

It would be really good if we could customise the Cost Per Use reports to better reflect the data each institution might want to collect. For example, they might need the cost data to be based on invoice subscription dates rather than fiscal year paid. Another example is wanting to calculate on usage on a specific platform rather than combined usage across all platforms.

In August 2019 we officially released a new Cost Per Use structure integrated into the E-Inventory subject area with special consideration for determining the COUNTER platform in the Cost Per Use. On August 13th we had two world wide webinars (for different time zones) explaining the new feature. This was developed together with a group of early testers and development partners via a Basecamp group that met regularly, consisting of 17 librarians from 11 institutions. This also includes the fund information in the e-inventory subject area as requested in ideas exchange with 174 votes https://ideas.exlibrisgroup.com/forums/308173-alma/suggestions/19256761-in-analytics-add-fund-information-to-e-inventory-s

  8. Split role user manager in 2: the user manager and the patron manager

Right now any operator at any level with a role enabling the right to edit/delete users in Alma has the rights as well to change or delete roles or scopes of anyone else, even of the Alma administrators (!).
Roles shall be fine tuned in a much more granular way, as to have two separated types of managers and administrators.
    - Patron managers shall be enabled to create and edit Patron Users, but not to edit/delete roles assigned to other users, esp. Libray staff Users.
    - User administrators instead should be enabled to edit/delete roles of other users, including Library…

As part of the June release It is possible to restrict users that have access to user accounts so that they cannot update restricted users accounts. For example, it is possible to set that some users that have a User Manager or Circ Desk Operator role will still not be able to update accounts of library staff. Restricted accounts can be defined as accounts with given user groups or with given user roles.

  9. Add Functionality to the Scan In Function in the Alma App

Staff at Boston College are conducting a collection inventory using laptops to process items while logged into the full version of Alma. The laptops have proven unwieldy and to address this we have tried deploying iPad's for the work. However we ran into issues with bar-code scanning and the way that Alma presents its user interface on mobile devices.

We were very excited to hear that Ex Libris had launched an Alma Mobile App. The interface is greatly improved on mobile devices, and we are able to successfully scan bar-codes during our testing using our bluetooth scanners. We were however…

  10. Analytics reports by journal title for resource sharing borrowing requests

Our subject librarians have requested that they would like to be able to run reports in Alma Analytics by journal title for resource sharing borrowing requests. When title is selected in Analytics, it only provides the article title but we would like the journal title. Is this possible already or is it something that is planned for inclusion in future?

As part of the November release the Journal Title field was added to the following locations:
Borrowing Requests > Borrowing Request Details
Lending Requests > Lending Request Details

  11. Add "Alternative Call Number" to the "Change Physical Items" job so that this field can be edited in batch across sets of item records.

Many fields in the Physical Item record can be edited in bulk using the Change Physical Items job, but "Alternative call number" isn't included in the options for this job. We would like to be able to edit (and delete) these fields across large numbers of records without having to do it manually for each one. Please give consideration to including this field in the Change Physical Items job.

  12. Ability to add notes to invoice lines from invoices that are paid and closed

We are aware that one can edit notes on an invoice that is already paid and closed. However, for subscriptions, journals and continuations we often have the need to add/edit notes on the invoice lines of invoices that are already closed and paid. Manually putting the invoice back in Review to edit / add notes to the invoice lines doesn't solve the problem as this makes the payment information disappear which we then have to re-enter.

We require the ability to add notes to invoice lines from invoices that were already paid and closed without having to re-open the invoice.

  13. To add the "primary identifier" to the export list of the user set

We would like to add the "primary identifier" to the export list of the user set.

We will use the excel file with "primary identifier" to establish the User set, but not all the primary identifier can be loaded into the user set. So
We would like to add the "primary identifier" to the export list of the user set in order that we could know which primary identifier can not be loaded into the User set.

It is now possible to include primary identifiers as part of the exported list when using Alma's Export option from the user list. An Extended Export option will generate an Excel file similar to the existing "all fields" export, adding the primary ID as a column.

  14. RS Borrowing Requests – changing format before sending request

We would like the ability to change the format of a request before sending it to a Partner – e.g. from book/book chapter to journal/journal article or vice versa.

As our patrons don’t always know, or pay attention, to the actual source format, they often submit their requests with the wrong format, which our staff would like to fix before sending to Partners.

  15. Include authority cross-references in Browse Bib Headings

The very useful Browse Bib Headings tool includes only information from bib records. It would be extremely useful if it also included authority cross-references for controlled headings, similar to how the Primo browse works. This way, if a user tries to use the Browse Bib Headings and enters the non-preferred term, the cross-reference will let them know that they need to search on the preferred term.

  17. Add ability to load split coverage dates with portfolio loader & export split coverage dates from Alma using standard export methods

This feature would add the ability to load and export split coverage date ranges for Alma portfolios. Currently, the portfolio loader only allows uploading continuous coverage date ranges. However, in some cases, a journal has split coverage dates. For example, we might have access to a journal from:

    1980-1995
    1997-present

Currently, there is no way to upload this using the portfolio loader; the portfolio loader will only load one of the date ranges. This means we must do extra manual work to enter these date ranges in the portfolio editor.

Also, the standard portfolio export features in Alma, in cases…

  18. Ability to change Purchase Type / Order Line Type after an item has been ordered

When ordering an item a purchase type must be selected to create a POL. It appears as Order Line Type in the POL after the item has been ordered. It would be nice to have the ability to change the Order Line Type within the POL instead of canceling an order and having to create a new one from scratch. An example would be having the ability of changing the order type Print Book - Standing Order to the order type Print Journal - Subscription within an item's POL.

  19. Fulfillment Network - Institutional drop down menu for patron/item

Fulfillment Network - find patron/item from another institution: Currently in Alma, when selecting either an item or patron from another institution, the drop down menu is in a random order. There should be a way to change the sorting of that list (alphabetically for example). This menu can be found in the Manage Patron Services, Return Items, and Scan in Items.
This carries over to Primo for users placing requests. Both the institution and fulfillment network scopes. The pickup institutions should be listed alphabetically.

    • Order Lines - review - unassigned (Purchase Order Lines in Review)
    • Invoices - review - unassigned (In Review Invoices)
