  1. Alma User Role for Editing/Deleting only Quick-Cataloged Records

    Scenario:
    Library staff frequently need to create records for resources using the Quick Cataloging feature. Often, those records need to be edited after creation, due to mismatching resource types, updated information, operator input errors, etc. Most of the staff using the Quick Cataloging feature are not trained as catalogers, and do not have cataloging roles in Alma.

    Problem:
    Quick-Cataloged records are not editable by staff without cataloging roles in Alma - who are frequently the creators/managers of these records. This has led to several different workarounds at various institutions:

  2. Advanced search option for Users search

    Create an advanced search for Users search, just like for physical titles / items. In this search, make it possible to search (for instance) users with specific roles or job categories, identifiers starting with specific prefixes, users with different kinds of blocks, users with outstanding loans or requests, etc, and the possibility to combine these.

  3. Move general email feature outside of the User's form

    The General Email function is currently located inside the form for updating general information in the user record.

    If there are any problems with missing mandatory data in the form then the email cannot be used at all.

    Since it is unrelated to user general information I would suggest that the Send Message function should be located outside of the user data area perhaps up near the buttons "Toggle Account Type", "Open for Update". (See screenshot)
    Additionally, the general mail could perhaps be added to the letters that can be sent from "Manage Patron Services"

  4. Have the option to send emails to the user’s preferred address or send it to all of the user’s addresses on their account instead.

    Sometimes the “preferred addresses” imported from SIS is not the address users frequently uses, they could potentially miss important notifications and cause disputes.

  5. Update user roles quickly - import the Excel file exported from another user

    Currently, it's possible export a user's roles in Alma to an Excel file. However, the counterpart function isn't there: to be able to take the roles you've exported from one user and import them into another user's record. This would be such a time-saving feature because it would enable us to take the roles from one member of staff and apply the same to another.

  6. Field for academic year in user profile

    It would be good if there were a field in the user's profile that states the user's academic year, e.g., YEAR 1, YEAR 2, YEAR 3, etc.

  7. Allowing the ability to freely assign different jobs to different users.

    There are cases where we want the user to only be able to handle a specific task that is beyond their user role, but currently in order to do that we have to assign them with roles that allows them access to jobs we don’t want them to have access to.

  8. Inactive/Active change to be visible in history tab

    When a users account is made inactive/active it does not currently show in the history tab. I would be extremely useful to be able to view when a users account becomes inactive.

  9. Purchase Request Library management in User records

    A new multi-selection field, Purchase Request Library, was added to the User Details page with the June 2018 release. If one or more libraries are defined for a user, the user may create purchase requests only for the listed libraries. If no libraries are defined, the user may create a purchase request for any library.

    But managing Purchase Request Libraries in user records can only be done record per record; there is no possibility for batch processes.

    Currently, there is no option:
    - to add or remove a Purchase Request Library with the Update/Notify Users job;

  10. Emailing patrons straight from their patron record

    From the patrons contact information: It would be great to be able to send emails straight from their account. (Click on email and have it open in outlook.) This would alleviate have to copy and paste into a seperate account.

  11. To add the "primary identifier" to the export list of the user set

    We would like to add the "primary identifier" to the export list of the user set.

    We will use the excel file with "primary identifier" to establish the User set, but not all the primary identifier can be loaded into the user set. So

  12. Save and Continue button on User Record screen

    It would be really useful to have a 'Save and Continue' button when updating user information as edits can easily be lost if the user record closes (timeout). It would also mean that you could save the changes for one tab at a time.

  13. Customize Patron Registration Form with more identifier field

    We would like to to have more than one instance of the drop-down menu (identifier1 field) and input field so we can fill in more than one identity type in the registration form for a quick registration of the patron.

  14. Attach printed letters to user record

    We send our bill notice to a central email account for price checking before sending onto the user.

    Request is for any notice to be added to a users record in the attachment tab, whether it is emailed or sent to print.

  15. Record Block Expiry Date Editing History

    We’d like Alma to keep track of changes made to Block Expiry Date.

    We sometimes edit and shorten Block Expiry Date when users return books late due to unavoidable circumstances. However, Alma does not keep track of changes made to the Block Expiry Date in the Blocks tab. It would be great if we could review the history of changes made to the Block Expiry Date in the History tab of user record.

  16. Batch deletion of notifications by date or letter type

    I notice that I have 356 system job notifications in the attachments tab of my Alma account. Apparently these can only be deleted one at a time, which would take at least an hour or so. It doesn't appear in the letter retention section, so please could you introduce an option to batch delete these?

  17. automate user update job to send user emails ie about to expire

    Currently the user update job can send emails to patrons. However due to the technical aspect of creating sets and running the job our user services librarians prefer to take the information out of a dashboard and widget and add them to a template email in outlook. It would be better if a schedule job could be created to send out user update emails to logical sets. Specifically for users that are about to expire - and have loans to return.

  18. Have option to set Expiration and Purge Date to "Current Date"

    It would be useful to have a button that says "Today" or "Current Date" when changing either the Expiration date or the Purge date. We often have to update records for staff and faculty who terminate and having that button would save a lot of time.

  19. Ability to Disable the Dispute Functionality for Fine/Fee

    Feature Requested:
    An option to turn off the ‘Dispute’ functionality for fines and fees.

    Use Case:
    With middleware connected to Alma and our university, anything that is done in Alma needs to be propagated to the rest of campus. Since there is not a need for the dispute functionality, we have not written any middleware on handling the dispute if it were to come in through the web hook. Currently, we are training staff to just not use the dispute functionality. It would be ideal to just turn off that option so that there is not a chance of discrepancy…

  20. Clarify user details contact info created by and created date

    In case #00711507 Rachel helped us discover that when a patron is toggled from external to internal the values in the "Created By" field for the contact information change to the user who toggled the patron but the "Created date" does not change from it's original value. The result is the "Created By" and "Created Date" don't match which causes confusion.

    Perhaps when updating the "Created By" when the patron is toggled the "Created Date" could also be updated.
