  1. Add a dedicated privilege to control the appearance of the "Change Vendor in Order" functionality.

    This idea was submitted on behalf of the Product management team as we would like to understand the need and use cases of the need described below- any comment is welcome.

    Currently, accessing the "Change Vendor in Order" process / job is linked to the privilege: BASICPOPOLINEMNG

  3. Change bib reference number on cancelled PO

    There is no option to change the bib reference for cancelled POL/POs. If this option could be added to the functionality of cancelled POLs, we would be able to move these records to more appropriate records to assist with clean up (i.e. deleting suppressed, no longer used records) or to keep like order records together so we can track order history and prove perpetual access. Currently in order to move the record over we would need to reopen the POL and then lose our PO notes that migrated from our previous ILS.

  4. New PO Lines: Allow editing of PO Line description independent of MARC record

    In the old PO Line interface, you could update the description from the MARC record but then you could edit it. For example, sometimes I want to have a title from the MARC record but then add ONE-TIME ONLY or something like that to the PO Line description. I can't do that anymore.

  5. Export funds from a PO Line

    Allow the funds codes, amounts, and percentages, on a specific order to be exportable.
    We often need to communicate these amounts with selectors, and this ensures no errors. The old interface allowed copy/paste into a table, and this has been lost with the new interface

  6. New PO line: Add pickup capabilities to autocomplete fields (for example, Interested users)

  7. Allow Material Supplier, List Price, ISBN and Fund to save when saving orders that have not been sent

    If you are interrupted when creating a PO line, either because you are disturbed or because there are insufficient funds in the budget, Alma saves the information you have already put in. At the moment, it saves the PO line itself but removes the ‘Material supplier’, the ‘List price’ and the ‘Fund’, so that I’m starting off worse than from scratch because two of those three things are already included on my template when I create a PO line anew. If I change the ISBN, this also reverts back when a PO line is saved, and the Reporting Code also…

  8. Customize fields required for ordering template

    Ordering templates are very helpful, but depending on the set up of each library, all the fields that are required right now may not make them as useful as they could be.

    For example, we could use templates more widely - and save more time - if a PO Line type OR if fund was not always required, and instead leave that to the operator to fill in.

  10. Change the way the Receiving Note is updated in the Update PO Lines Information job

    Currently this job fully replaces the information in a receiving note. We would prefer that the job either append or pre-pend the information we would like to add to a receiving note. It is usually not a one for one replacement, but rather a common detail of additional information we need to add. Often, we can't use the job, since we still want any information already in the note to remain there.

  11. Custom Reordering of POL Notes

    Currently it is only possible to sort notes in POLs by existing columns "Created on", "Updated On" and "Updated by". It would be beneficial to be able to reorder notes in a drag and drop method, or to shift them up and down, in order to control what notes are at the top. Currently after editing a note, once saved, it gets pushed to the top of the POL notes which can distort the order and flow of the order that we wish the notes to appear in.

  12. Create a POL on a set of electronic portfolios

    At the moment we think that it is not possibile in Alma to create a POL for a set of electronic portfolios in an electonic collection. We are suggested by support to create an order and attach to it the list of the portfolios and add a note to mention this. This is a workaround that solve partially the issue. Could be found a solution for this case?

  13. Auto-assigning PO lines to specific users

    We think it would be helpful to be able to have PO lines automatically assigned to specific users based on particular features of the PO line (like total cost, fund code, reporting code, material type, etc.). For example, if one staff user always handles the purchasing of physical monographs and another staff user always handles the purchase of electronic monographs, it would streamline the process if the system could automatically assign the PO lines to the correct users based on those conditions (perhaps with a rules list).

  14. Add "Description" to list of available fields in the POL "Ordered Items" section

    In the POL's Summary tab, the "Ordered Items" section near the top has entries for each item received on the order. These entries have the following viewable options by default, presumably drawn from the item record's data fields: Library, Location, Call Number, Copy ID, Summary, and Number of Items. Ex Libris notes that "Description" can't currently be added to this list of selections, even though this is also a field associated with the item, and visible alongside them when viewing the item record itself. Having "Description" also available as an option in the POL would help to provide more information…

  15. For existing titles that need a new order, allow manual assignment of existing holdings

    For serials, very often not every order is for a new title. We often close an order and create a new one when we switch to a different vendor -- this is preferable to changing vendor in order for reasons relating to invoice history -- or, in cases where a title was cancelled and is being reordered but with a different vendor. In either of these scenarios, we would open a new order but would want to continue existing holdings with new issues, not create another holdings record. Currently, we have to create a dummy holding with our POL, then…

  16. Ability to add option to see if line has invoice to POL summaries

  17. Allow PO-Line type to be edited

    When we migrated, a lot of our print serials were migrated with the POL type "Electronic Journal - Subscription" and a dummy order was created for the print journal subscription. We still can't figure out why/how this happened. But if there was a way to change the POL type after the creation of the POL, that would probably go a long way to resolving this issue. Currently, there's no way to go into the order and change it from electronic to print. And yet, the two orders that were created are using the same bib record. OR be able to…

  18. Ability to add historical purchases and/or backdate orders

    Would like the ability to add our historical orders into Alma for record-keeping and the ability to pull in that info into analytics. We have instances of perpetual access titles/collections that we purchased prior to onboarding to Alma, but no way to include that info on the vendor's page in Alma b/c we can't add that historical info, but that restricts our ability to use those vendors in comparison to others or perform cost analysis on them either.

  19. Link to interested user's record from PO Line

    As a Purchasing Operator, I want to access a user's record from the PO Line 'Interested Users' tab, so that I can see user details quickly without interrupting my navigation.

    Currently, you have to copy and paste information from the table into an Alma search and manually find the user. This interrupts Alma's navigation flow as it starts a new search, and there is no easy way to go back to the PO line or your previous search without repeating yourself each time.

  20. Hyperlink the ordered resource item within a POL

    Currently, the functionality exists where a link exists on records in Alma that will take users out to the associated POL where it exists. It would be useful to have the reverse functionality as well, where the ordered resource item within a POL links out to the associated record in Alma, to facilitate more easy access to purchased inventory.
