  1. Claim

    When I place a claim, I add a receiving note that itemizes which issue I have claimed. I remove this receiving note when I have received the claim. It would be great if there was a way for me to automate a note when I have claimed an issue, and if the note could be automatically deleted after the issue has been received.

  3. Add EOD FILE Information and Alma Job number to POL Notes Tab

    When a EOD is used it would be helpful if the EOD job information was added to the POL Notes tab within each pol file. Whenever I need to fix a EOD load issue I often have to sort through multiple loads to find the correct one. Having the file name and the Alma Job number on the notes tab would greatly speed up this process.

  4. Preset item policy for subscription PO Lines

    Having the ability to set an item policy for a subscription PO Line would save time and trouble. Currently, when a serials item is received (checked in), one must go into the individual item record to set the item policy. Too many clicks. Also, if someone else is checking in serials, they might forget about this additional step. If someone tries to check out an item, will the person at circulation know that it is in-library use only, 3-day use or 14-day use?

  5. Make it easier to configure Alma vendor order letter. XML and Style sheets require to much background to quickly set up.

    Provide a generic-simple Word letter for ordering that Acquisitions can customize by adding pertinent info to such as vendor name and address, title, price, terms, and the libraries contact info. The editing and testing of the current letter now is very cumbersome. Can you use a savable word document that allow you to copy and paste in a vendor's email and the basic info of the title to be purchases. Xml and style sheets are too time consuming and needs more software skills than many Acquisitions Department have access to. I just want to email an order to the vendor.…

  7. POL load fiscal year

    During import of POL, please add a field to load the fund's Fiscal Year/Period. This is necessary for running Acquisitions with Accrual Accounting enabled. Right now, according to development: "if the next Fiscal Period is active and the funds are valid then the Encumbrance will be made on the next FP. This is what is the expected behavior from Alma." I'm not sure why it's "expected" to always load POL into the most distant future year-- but regardless, I need the ability to load into a specific Fiscal Year.   8. Combine "Close" and "Cancel" into one function.

    We prefer to always "Close" instead of "Cancel" an order for several reasons. It would be really helpful, and less confusing, if the two options were merged into one and it always behaved like "Close".

    The reasons we prefer "Close" include:

    1. Most Print Journal-Subscription orders will still have print issues that need to be received after the liaison has decided to end a subscription. If the order is Closed these issues can still be received. If the order is Cancelled they cannot.

    2. If an order is Closed it cannot be linked to an invoice unless you search for PO lines/titles…

  9. Un-receive option for items not in-department with interested users.

    Current un-receive functionality is restricted to items which are still in department and having no interested users. It would be very helpful to have un-receive available without these two conditions attached.

  10. Generate Feedback Message with Link to E-Resource Activation Task

    When creating an e-activation task for an electronic inventory item directly from the portfolio or collection, the feedback message contains only an informational message that the task was completed but does not contain a link to the task on the E-Resource Activation Task List. We would like to see a feedback message that would include a direct link to the task so that the user can then handle the task (for example, assign the task to themselves or to others.)

  11. Auto update to Resource Locate Status

    When we purchase a material thought the request from Leganto, after the item is delivered and processed by Library, the Resources Locate Status is still "Resource Located" but not "Check Availability", it is necessary to make the Alma update automatically.

  12. Trials : when a participant reopens a survey form, the replys already submitted should display

    At the moment, when a participant reopens a survey form he already submitted, all the answers are empty.
    If he fills in again the survey form, at the end, when submitting his answers the second time, a warning message displays (do you want to submit again ?)
    We consider that this warning is too late in the workflow.

    So our request is : when a trial participant has filled in a survey form, if he reopens the same survey form later, this one should display the answers already submitted.

  13. Trials workflow : enable to fill in block "Analysis and Result" only from trials with In Analysis status

    At the moment, it is possible to fill in the block "Analysis and result" in Summary tab at any time of the trial workflow. Even in an evaluation with Draft or Active status.
    It doesn't make sens, does it ?
    We would like to ask EXL to fix this and enable to fill in block "Analysis and Result" only from trials with In Analysis status.

  14. Accrual Accounting>Add Ability to Manually Edit Accrual Amounts

    Alma calculates accrual percentages based on days, while we have always calculated the percentages/amounts based on months. That creates problems when we manually calculate an invoice outside of Alma, and then try to re-create it in Alma. We have had instances in which we have different amounts in Alma and with our business office as we could not enter the amounts manually in Alma. It would be really helpful to be able to manually edit amount fields for both fiscal years.

    The customer perfers the option of Manual packaging could be modified when the POL is on auto packaging or manual packaging status.

    We have suggested the customer to cancel the POL then reopen it to change the status to in Review status, so they could modify the Manual packaging option. But the customer said it would be more convenient if the option could be modified directly before the POL was packaged.

  16. Add platform filter to the "Missing Data"

    The "Missing Data" tab under the Load Usage Data section should have a filter for platform. As I set up more usage reports and as I want to check and make sure all the data came through, it has become more difficult to find the rows that I want to review. A filter for platform will help.

  17. PO Line and invoice attachments: Upload/View/Edit/Delete - additional user roles needed

    It is possible to upload attachments to a PO Line or an invoice. These attachements can be viewed, edited and deleted as well.

    In case of using Alma as (the only) data storage for e.g. invoice PDFs, it is very important that attachments can be deleted only by specially privileged staff users. Deletion might be necessery e.g. because of erroneous uploads.

    Looking into the 'Roles Reports' shows that there is no 'Delete' option listed (so Edit means also Delete):

  18. Improve Secondary Reporting Code List Table Functionaility

    We use the secondary reporting code table to list our selectors and tie their names to any selections they have made in Alma. Currently, we have around 35-40 selectors and we keep them alphabetized by last name, first name. The problem is when we go to create a new user the user is placed at the bottom of the column. We then have to manually click the row up one time until we get it in the position we want. Every arrow click also refreshes the page which can lead to 10-15 minutes of clicking to get a user to…

  19. Save emails to and from Patrons for Requests

    When we “Send query to requestor” as we Manage Purchase Requests in Alma, it would help greatly if our communication “query” would be saved under a communications tab for that request. This would create a history of actions related to that request. Currently, I can only put notes into the “requestor note” field of the request, and there is no other record of queries sent to the requestor for that request unless I copy the query to myself. Connecting email messages in my box to the Purchase requests in Alma, is not convenient. Is there a way to save this…

  20. Acquisition Renewals for NZ e-collections

    We would like the ability to renew a shared e-collection.
    The new FY year price would be displayed in the negotiated license and then a renew button would be available. the library would see the new FY cost and then renew or cancel that subscription.
    Then this renewal or cancel would notify the NZ administrator.
    (similar to the functionality in ConsortiaManager).
