How can we improve Alma?

    Description Hello,

    This is an enhancement request.

    Even when an electronic collection is linked to a bibliographic record in the Additional descriptive information field of the collection record and when an Electronic Collection PO line is linked to the collection, it currently is not possible to get to the PO line when we look up the title as "All titles" and click on the "More info" link. We have to use an Electronic Collection search to get to the title…

  4. Add fund rules fields to Tools>Excel export in Funds and Ledgers search results screen

    Support have confirmed that it's not possible for an Alma user to access reporting on the fund rules fields e.g. over expenditure allowed, over-expenditure limit etc.

    They suggest the quickest way to achieve this would be to add these fields as columns to the Tools>Excel export function in the fund and ledger search results screen.

  6. PO Templates: allow anyone to delete

    Right now a PO template can only be deleted by the person who created it. We have a number of templates sitting in our list that were created as tests when we first adopted Alma. We can't delete them because we don't know who made them, and it's possible that the creator no longer works at our institution.

    We don't see why public templates require this level of protection; if someone is concerned about a template being deleted, they can make it private.

  7. Include the ISBN/ISSN dropdown box in 'Other Service' PO lines

    We regularly need to order additional copies of ebooks, for example, if credits run out. If we are getting these from the same supplier, we don't want to create a duplicate portfolio, so we want to add an order without creating inventory. Using the order type 'Other Service' would be ideal, however there is no option to include the ISBN in the order, which vendors depend on for identifying the order via EDI. It would be great if this function could be added to 'Other Service' orders.

    There isn't a possibility to configure the display of a journal's 'Description'. It is possible to edit templates in MD editor to configure which subfields will be displayed, however the display order of these fields is NOT configurable.

    We need a configuration possibility for journal's 'Description'.

  9. "Save and dismiss" button in "Manage EDI Tasks"

    In the "Manage EDI Tasks", when using the "Update Expected Receipt Date" action, updating the date and clicking on "Save", it would be great the concerned line would automatically be removed from the list without having additionally to click on "Dismiss". A new function button like "Save and dismiss" would be helpful.

  10. Filter Acquisitions POL sets by fiscal period

    Manage Sets is useful for quick lists of orderlines but it's not possible to filter by fiscal period. This results in large sets which take a long time to display and then need to be filtered offline in Excel.

    Adding a new filter of fiscal period in Acquisitions Manage Sets could help reduce the load on Alma and produce more relevant sets.

  11. Interested Users with API

    When ordering with YBP using the API, it would improve workflow to add a hold for a patron into the Interested Users tab. Right now we add hold information into the Library Note field that goes to the Notes tab in Alma. We have to take an extra step to check for a possible hold with each title and add it to the Interested Users tab manually. It would be much better if the API would do it for us either by creating a new field to enter the information in GOBI or take it from the Library Notes field…

  12. Add other participants to trial after initial trial email is sent

    There is only one opportunity to send out a "participate in trial' email. This means that although it is possible to add a participant to the trial, no email is sent out to this person if the initial trial email has been sent.
    It would be great to have the option of sending an email to individual or all participants again.

    PO Line - Communications

    It is not possible to add all order communications with the vendor into one tab "Communications". All communcations that's starts from the vendor can not register here, only the communications that's starts from the library.
    It is not possible to select a communication type that's not sending a email to a vendor in the communication tab.
    It is very important for us that the chronology of communications is saved in one tab and not in many tabs.

  15. Run a report of items by fund code in Analytics

    A colleague wanted to know the usage stats for books he had purchased over a certain period of time. This would have been easiest by running a report including items, his fund code, and the relevant fiscal years. This is currently not possible - Dewey range reports inevitably miss some titles.

    Can the Funds Expenditure and Physical Items SAs be made compatible?

  16. "Acquisition method"

    When creating a "PO Line" would it be possible in the "PO Line Summary" tab to move the "PO Line details" from near the bottom to the top as it actually makes more sense to select the "Acquisition Method" first as it dictates what fields you need to fill in, e.g. "Legal Deposit" means "Pricing" and "Funding" etc. become inactive and are no longer required fields. I know if you use a template it doesn't matter because you it populates that field for you but in terms of workflow it seems backwards.

  17. Send claims for journal issues for providers without EDI

    We have a lot of journal providers for our legal deposit. As they may be associations or other small institution, they don't work with EDI.
    Quite often, we don't receive issues. So we want to send them claims. But these are not sent automatically in Alma for subscriptions.
    We suggest Alma sends claims for issues that haven't been received to the e-mail address defined for the provider (vendor), taking into account the claiming grace period.

  18. Allow Material Supplier, List Price, ISBN and Fund to save when saving orders that have not been sent

    If you are interrupted when creating a PO line, either because you are disturbed or because there are insufficient funds in the budget, Alma saves the information you have already put in. At the moment, it saves the PO line itself but removes the ‘Material supplier’, the ‘List price’ and the ‘Fund’, so that I’m starting off worse than from scratch because two of those three things are already included on my template when I create a PO line anew. If I change the ISBN, this also reverts back when a PO line is saved, and the Reporting Code also…

  19. More PO line options for Create Purchase Request

    Purchase Requests functionality is great idea (ACQUISITIONS --> Purchase Requests); unfortunately, the usefulness of this new feature is limited because it appears that it can only be used with certain PO Line Types (Print Book - One Time, Electronic Book - One Time; Print Journal - Subscription; Electronic Journal - Subscription). We cannot use the purchase requests workflow for physical media, for example, because there is no option for a requester to choose a "Citation type" that would map to a PO Line Type of Visual Material.   20. Additional PO line for Electronic portfolios/collections to show these additional resources in the PO Line

    The new Additional PO option in the electronic portfolio/collection editor is great, but it would be good if these resources could also be identified from within the additional PO itself.
