  1. Ability to change Purchase Type / Order Line Type after an item has been ordered

    When ordering an item a purchase type must be selected to create a POL. It appears as Order Line Type in the POL after the item has been ordered. It would be nice to have the ability to change the Order Line Type within the POL instead of canceling an order and having to create a new one from scratch. An example would be having the ability of changing the order type Print Book - Standing Order to the order type Print Journal - Subscription within an item's POL.

    • Add "item policy" and "temporary location" automatically to predicted issues

      Acquisition librarians want to add automatically the "item policy" and "temporary location" to predicted issues to speed up their work and limit the number of clicks. At this moment the added value of prediction pattern functionality is being restricted by the lack of functionality (parameter setting) …
      Use case: It’s not possible to add the item policy/temporary location as a parameter to continuous pol’s. If issues are created via prediction patterns the item policy/temporary location should be indicated automatically based upon parameter settings on pol level. This would save a lot of time and additional clicks when receiving the issues. …

      • Include "Quantity for Pricing" in EDI for ebook POLs

        It is currently not possible to send the correct quantity to the vendor via EDI. When EDI is sent for POLs of type "Electronic book - one time", the quantity field in the EDI is always 1, even if the Alma POL has a different Quantity for Pricing value. We often need to order multiple "copies" (i.e. sets of access credits or user licences) for an ebook, but only want 1 portfolio on Alma.
        Please consider using the "quantity for pricing" in EDI for electronic - one time POLs.

        • Extend the "interested users" functionality

          Acquisition librarians want to extend the current "interested users" functionality in order to serve the end user in a better and faster way. The current "interested users" functionality is not sufficient enough, to become useful and really benefit from this functionality we would like to extend it with:
          • The ability to sort the interested user list.
          Use case: some users (e.g. academic staff) have priority and should get the issue first!
          • Make it possible to create hold requests on these items regardless of the existing fulfillment policy:

          • Searchable invoice notes

            Add the capability for analytics and/or sets to generate a report based upon the note field. I have not been able to easily extract invoice notes from Alma. This would allow acquisitions departments to extract useful invoice data that may be unique to their institution. Also, if a library has Alma directly connected to an external payment system error reports will generate within the invoice note field. Having a way to easily extract these note through a report feature would be beneficial.

            • Better correspondence between number of items ordered and Quantity for pricing.

              As a Purchasing operator, I would like a better correspondence between the number of items ordered and the "Quantity for pricing" in the PO line summary.

              When we are ordering more than one item of a physical title, we have to add the extra items in the Quick add field, and then have to update the Quantity for pricing field manually. We see that Purchasing operators tend to forget to update both fields. The result is that the number of items that we intended to order, not always corresponds with the number of items that is supplied by our vendors.…

              • Allow Linking PO Lines to Electronic Inventory Regardless of Order Record Type

                We keep running into road blocks with not being able to hotlink POLines into the POLine fields of either Electronic Collection Records or Portfolio records.

                Is there a way that Alma can allow us to add POLines to Electronic inventory no matter what the order type is? This would save us so much time and allow us to use existing order lines for renewals. Right now we are doing a work around to connect order lines with electronic inventory by entering order information in the Portfolio Internal Description field.

                • Hyperlink invoice number in PO to actual invoice

                  Working with purchase orders and invoices requires frequent switching between a purchase order and invoices attached to it. Under the tab Invoice lines in a purchase order Invoice Numbers are listed to the left. On the right side there is a View button, which gives some basic information about the invoice.
                  In order to view payment date, cheque number, view attached invoice, view other purchase orders associated with this invoice, one must copy the invoice number, then go to Invoices in Open Search Menu, paste the invoice number and then access the invoice record that way.

                  • Ability to create a chosen quantity of predictions

                    As someone who manages serial subscriptions, I would like the ability to choose the quantity of predictions I create for any given holdings record. This would allow for quicker navigation of list of items, and reduce the number of inaccurate predictions.

                    It is not always desired to predict an entire year’s worth of predictions (which currently is the only option). Depending on the publishing frequency and the number of copies of a subscription, we can have 11 pages of predictions in a list of items, in addition to the received items.                     • Add field for administrators in license record

                      We would like to add a field called "administrator” in the Summary tab of the License. This field would preferably be connected to the user inventory in Alma and should be repeatable for as many administrators as we want. Often there is more than one person included in the negotiation of a license agreement. It would be of great help to have the names of these persons in the license record in Alma.

                      • need more search criteria in acq such as operator id or create/update date

                        It would be useful to have some additional search criteria, such as operator id, and facets, such as a last update date range and status, available to monitor staff productivity. Not just in purchasing but in all areas of acquisitions the site reports the need for functionality that will allow a combination of attributes of the records to generate results.                           Under Search for PO Line > Find:() >In:(), we would like to add the option to search Alma PO Line Notes Fields under the "In:" pull down menu .

                          This is so we can search our migrated data for codes we have installed on the "PO Line Item Notes", "Instructions to Vendor", "PO Note", and the "PO Instructions to Vendor " fields in Voyager records to easily verify the P2E process converted orders correctly.

                            At the moment Alma only sends one claim request to the vendor. If the ordered item is still not received, staff need to follow up and re-claim manually; usually a number of times.

                            We would like to see claim cycle functionality in Alma so that we can configure follow-up claims based on a set interval per vendor, as well as a maximum number of claims to be sent before the order is automatically cancelled and the vendor automatically notified.                             • Add 'activation note' to purchase order screen for electronic orders

                              When ordering print material it is possible to add a 'receiving note' on the order screen. This note is visible on the receiving screen.
                              The same feature would be beneficial to the electronic ordering workflow: an 'activation note' available on the order screen which carries through to the activation screen.

                              • Add a public note field in interface record

                                From time to time, a vendor interface goes down temporarily. While we follow the access issue up with the vendor, we add a public note for our students and staff indicating that the interface is temporarily down. The issue is that often we have many electronic collections with the same interface, and therefore must add a public note to each and every electronic collection that uses the affected interface, and then remove all of the notes once access is restored.

                                • "Save and dismiss" button in "Manage EDI Tasks"

                                  In the "Manage EDI Tasks", when using the "Update Expected Receipt Date" action, updating the date and clicking on "Save", it would be great the concerned line would automatically be removed from the list without having additionally to click on "Dismiss". A new function button like "Save and dismiss" would be helpful.

                                  • adding Item Replacement Price when creating an item via Import Profile

                                    How to do we set up an Acquisitions Import Profile so that when the item is created the item Replacement Cost field is populated with the order information? For example we have an Import Profile for our Yankee Book Peddler (US) vendor (New Order - physical material - YBPUS) that has the price recorded in the 960$s marc tag and this correctly populates the PO-Line entry but there doesn't seem to be an option to use this field in the inventory tab to populate the item Replacement Cost meaning we have to add this manually.

                                      Law libraries have loose leafs and pocket parts and do not need to have an item generated for them. We would like to be able to track when they are received but having them show up in Primo is messy and having a suppressed holding just to receive these items is also messy. Both would make running statistic more difficult because the count would be inaccurate. Voyager was capable of receiving these sorts of items without automatically generating a barcode while also allowing to track the receiving information. It would useful if you added this feature to Alma.

                                      • Add Academic Department as a field in Acquisitions

                                        Many academic libraries need to keep track of spending by academic department. If spending is not allocated by academic department then it is needlessly cumbersome to track this through the fund structure. Although this could be tracked through the sole reporting code Alma offers, there are many other competing needs for that valuable real estate. It would be useful to many institutions to have a discrete academic department field for use in creating reports.

                                        Alternatively, add a "reporting code 2" to acquisitions that could be used for a variety of purposes.

                                        • Enable embedding fund balance graphs and data on Alma Home Screen

                                          Fund balance data from Analytics is inaccurate as data is piped in to Analytics on a daily basis, making fund balance widgets created in Analytics less useful for checking available balances. We would like to request the ability to quickly access up-to-the moment fund and available balances available under each fund under Acquisitions > Funds and Ledgers > Fund > Reports in home page widgets. This would enable staff placing order to check live fund balances easily on a regular basis.
